Typically a refund to a Credit Card would be on a Cash Sale transaction (credit card was used to pay for the sale at the time of the sale); the customer returns the parts and wants the refund back to the Credit Card (only issue CASH or CHECK for a credit card transaction if a different merchant processor was used - as these can be fraudulent or denied charges).
NOTE: this process will not work if using the Pluss Payment integrated Credit Card processing - refer to Pluss Payment Refund for details
Return the parts as outlined for the point of sale with a negative quantity producing a negative sale, verify the terms on the sale are CASH, print and bill the sale as normal; select C. Pay by CC or use G. Third Part CC/List to use a different Credit Card processing when prompted for Billing Options.
Note: if using integrated Credit Card transactions you will be prompted to swipe or enter the card number
If not using integrated Credit Card transaction you will have to swipe or enter the card in your merchant processor and key in basic information in Vision when prompted like any other Credit Card transaction.
The negative record will show as a Deposit and can then be batched and processed when the charges come out of your bank account as with any normal Credit Card deposit.
Credit Card Reversal
If the Credit Card charges are reversed or rejected and the funds never go into your Bank account you'll want to have a clean record of that transaction so leave all sales as they are - leave the sale as paid, leave the deposit as it was. Transact this just as you would an NSF Check; if the customer does not have an account create one for them with the same EXACT NAME as the charge and payment, go to Crediting Customers put in the Credit Card type the date can remain as it happened and enter the Amount of Credit as a negative amount:
If the Credit Card transaction has already been transacted and batched for the original purchase an internal policy should be in place to handle this situation. If the Credit Card sale simply needs to be voided on the Credit Card machine, use the same method outlined for above for Simple Refund, which produces a negative sale and deposit to offset the positive sale and credit.
If the Credit Card has already been processed and batched there are additional fees and penalties that can occur due to credit card returns, so use caution-it may be cost effective to issue a refund check instead of a negative Credit Card.
Deposit the negative 'deposit' for the day the funds were reversed or if the funds never cleared deposit the two records together for a zero total.
