MENU OPTIONS (Inventory Utilities) The inventory options can be found under the [F6] Options list and Menu Options. Most mass data changes to inventory are d... one through this Menu Options screen. NOTE: When using the Menu Options the system will prompt for the File Access Code to notify the user that the files may show locked if another user is in the same file. To speed up the process and prevent data locks during any mass data changes have all other users exit the inventory, purchasing and point of sale areas. A. Apply G/L asset account by line This utility will allows attaching a separate General Ledger account to a particular Line of parts. B. Apply Taxable or Non-Taxable by line This utility will apply a taxable status or non-taxable status by a line of parts. C. Build Inventory Core Items from Part Numbers If a core price is attached to a part, this utility will build an individual COR part number to provide price structuring for cores. This number will track all used cores stored in the inventory. D. Change Supplier Code by Line / Or Change Prod Line By Sup. This utility will change ONLY the supplier code that is attached to a line of Parts. E. Build Inventory Classification Class Codes are valuable tools used to further separate and group your Inventory (Parts and Labor) items. This area can also be accessed from the Inventory Management view with the Class button or under the Options list. Refer to the section earlier titled [Ctrl] & [C] CLASS for more details on how to use the Class Codes. F. Move Non stocked / Unsold Inventory to Pricing Data files When using the Price Import feature to import inventory from a manufacturers disk, the parts brought into the inventory that are not stocked and not sold can be moved from the inventory to the pricing data file with this utility. G. Update Inventory Pricing with \Prices Pricing & Update files This utility will pull the part prices from the Prices Data File and update that pricing into the current inventory. H. Set Application By Line and portion of the part number This utility will setup applications by line. A portion of the part number can be saved to the application. The system will locate either a space in the part number and place any characters following the space into the application field. The German part number uses the middle set of numbers to describe the item. The system will then be able to search by the application. I. Change a Line code from (XXX) to (ZZZ) This utility will change ONLY the line code from one line to another. J. Remove “-“ or Spaces from Part Numbers This utility will remove space(s) or dashes located in the part number itself. If dashes are removed, there will be an option to “squash” the part number, which removes the space left behind by the dash. K. Adjust Pricing By Product Line This utility will allows editing the pricing for each part number located in any given line. L. Rounds all price levels to 2 Decimals by line For small inventory items such as screws, nuts, bolts, etc., this utility will round the price to two decimal places to ensure proper charging. M. UPDATE Open Quantities in Inventory This utility will look at all open Workorders and invoices to report the correct amount of open quantities in the inventory. N. UPDATE Order Quantities in Inventory This utility will automatically look into the Purchase Order area to report the correct amount of quantities on order in the inventory. O. (Zero) Quantities or Quantities Sold Use this utility to zero all quantities in stock, quantities sold, quantities by line, quantities sold by line. **Use with CAUTION** P. Change Memo or Popularity By Line Use this utility to change the Memo code or Popularity code listed on the Inventory screen by Line. Q. Update core bank with grouping changes (See UNDERSTANDING THE BASICS OF CORE PROCEDURES earlier in this section). R. Delete a Product Line This utility will delete an entire parts/product line. **Use with CAUTION** S. Set Minimum and Maximums By Line and Volume Maximum Qty in C. Inventory is available for those who would like to set a not-to-exceed maximum amount when reordering. The min/max utility determines the minimum and maximum quantities by the number of days supply. The system will automatically calculate the average sales per day with conditions including seasonal and popularity. If the user determines that a 25 day supply is needed, the minimum days may be set to 20 and the maximum days to 25 or 30. The system will automatically reset the min/max numbers to accommodate a 25 day supply of the items. T. Update “COR” lines with cost price changes (See UNDERSTANDING CORES section for more details). U. Update Source Power Pricing Update Labor Average This feature can load Labor Averages from another system, this process may require some professional assistance. SourcePower was an electronic catalog used for Federal Mogul items to update the various price levels: Wholesale/Dealer, Jobber, and List. Remove S Popularity Coded Items for Quantities Out of Stock This utility will remove items with S popularity and zero quantity from the Inventory database. W. Resend All Inventory This utility will resend all Inventory items and should be used with caution.
